This page explains what personal information Ophelia Tutor collects, why it is collected and how it is looked after. Ophelia Tutor is run by Ophelia Chan, who is responsible for your information under UK data protection law (UK GDPR and the Data Protection Act 2018).
What information is collected
When you send an enquiry through the contact form, the following information is collected:
- parent or student name
- email address and, if provided, phone or WhatsApp number
- subject, student year group and exam board
- what help is needed, preferred lesson times and any other details you choose to share
Please do not include highly sensitive information (for example, health details) in the form. If something like this is relevant to lessons, it can be discussed separately.
How the information is used
Your information is used only to reply to your enquiry, discuss whether tutoring is a good fit, and arrange and run lessons if you decide to go ahead. It is not sold, and it is not used for marketing without your permission.
The legal basis is taking steps at your request before entering into an agreement for tutoring, and Ophelia’s legitimate interest in responding to enquiries.
Students under 16
If the student is under 16, we ask that a parent or guardian makes the enquiry or is copied into it.
Where the information is stored
This website is hosted by WordPress.com (Automattic Inc.). Form enquiries are stored securely in the website’s dashboard and sent to Ophelia’s email account (Google). These providers may store data outside the UK, under their own data protection safeguards.
How long it is kept
Enquiries that do not lead to lessons are deleted within 12 months. For students who take lessons, contact details and lesson notes are kept while lessons continue and deleted within 12 months after lessons end.
Website statistics and cookies
The website uses Google Analytics and WordPress.com statistics to understand how many people visit and which pages are useful. These tools use cookies or similar technology and collect information such as pages viewed, approximate location, device type and how you arrived at the site. This information is not used to identify you personally. You can block or delete cookies in your browser settings.
Your rights
You can ask to see the information held about you, ask for it to be corrected or deleted, or object to how it is used. To do this, please get in touch through the contact form or reply to any email from Ophelia. Requests will be answered within one month.
If you are unhappy with how your information has been handled, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
